Understanding Leave Requests

Leave requests are a formal, documented process where an employee asks permission to take time off from work, such as for vacation, personal reasons, or illness.

The Leave Request feature in the School Accounting System is integrated with leaves in Payroll. This feature facilitates the process for requesting and approving leave by allowing users to enter and submit requests electronically for approval by designated users, such as building principals, department supervisors, and/or the superintendent. Applicable users can assign substitutes to leave requests if needed when approving the leave requests or through a separate option. Once leave requests are approved, they can be quickly selected and brought into a batch of Employee Absences or Pay Period Entries for processing in a Payroll check cycle.

If the Human Resources module is activated, the Leave Requests feature can also be set up to enter and submit requests for approval for family and medical leave, and once approved, added to the FMLA screen in the Employee File.

As part of the leave request process, emails can be sent to users who approve leave requests and users who assign substitutes to leave requests, if needed, as well as those who submitted the leave requests. The notification emails to approvers indicate they have leave requests pending their approval. The notification emails to users who assign substitutes notify them leave requests are waiting for a substitute to be assigned. The notification emails to submitters inform them that the leave requests have been processed (received final approval or were rejected).
