Understanding Requisitions

Requisitions are formal requests for goods or services which are entered electronically and then submitted for approval by designated users, such as building principals and the superintendent. After being approved, requisitions are quickly selected and converted into purchase orders in order to show as encumbrances on the financial reports.

Emails can be sent as part of the requisition process to users who approve requisitions, in addition to those who submit requisitions. The notification emails to approvers indicate they have requisitions pending their approval, and the notification emails to submitters inform them that the requisitions have been processed (received final approval or were rejected).

Benefits of Electronic Requisition Processing

Utilizing electronic processes for requisitions offers several benefits:

  • Efficiency:  Digital requisitions streamline the approval process, reducing manual overhead.

  • Transparency:  Users can easily track the status of their requests, making the process more transparent.

  • Accountability:  The electronic system maintains a clear record of approvals, thereby establishing accountability among users.

  • Error Reduction:  Automating the process helps to minimize human errors that can occur in paper-based systems.

Conclusion

Incorporating an electronic requisition process not only simplifies operational tasks but also strengthens financial controls within an organization. The ability to swiftly convert requisitions to purchase orders enables organizations to function effectively and efficiently.
