Users can sign in with their defined user ID and password (as created by a supervisor or Web Link administrator in the User Security option), or sign in with existing Google or Microsoft credentials after setting up Single Sign-On (SSO) permissions with a Google or Microsoft account for their user within the Account Settings option.
How to sign in:
Within an internet browser, enter the address to access the modern experience for your organization.
Complete the Sign In screen:
Complete the steps below to sign in with a user ID and password defined for the School Accounting System:
Enter your user ID for accessing the School Accounting System in the User ID field.
Enter your password in the Password field. Remember, the password is case sensitive.
Note: If the password is unknown, click the "Forgot Password?" link to send an email to reset the password; when prompted, enter your user ID and email address, and click the Send button. Once the email is received, click the link within the email and follow the instructions to change the password.
When resetting the password with the "Forgot Password?" link:
The email address must match one entered in the Employee File for the user (employee).
The link in the email to reset the password is only valid for 30 minutes.
The new password must be different than the current password.
Tip: If needed, a supervisor or Web Link administrator also has the ability to reset a user’s password.
Click the Sign In button.
If the password does not meet the defined complexity or the password has expired (as based on the settings on the Password Policy screen in the System File), the Change Password screen appears and the password must be changed; complete the screen to enter a new password (refer to Changing a Password). Once the password has been changed, complete the sign in process using the new password.
If multi-factor authentication is being used (as defined in the Web Link Setup Options), the Verification Code screen appears; complete the verification process:
In the Send Code To field, click the down-arrow and select an email address to use to send the code.
Tip: The email addresses entered for the user (employee) in Payroll (including those with or without usage fields selected) are listed.
Click the Send Code button.
Note: The code that is emailed is only valid for 30 minutes.
Check your email and locate the message containing the code.
Enter the designated code from the email in the Verification Code field.
If the multi-factor authentication is required for new devices, the Remember this Device field appears. If applicable, to remember the device so that a code will not have to be entered the next time signing in on the same device (unless it has been longer than 60 days since the user last signed in on the device), select the Remember this Device field.
Note: The Remember this Device field only appears on the screen if Require for New Devices is selected in the Multi-Factor Authentication Passcode for Login field in the Web Link Setup Options.
Click the Verify button.
Note: The Verification Code screen will not appear if the multi-factor authentication is required for new devices and the device has been saved for the user in the past (and it has been less than 60 days since the user last signed in on the device).
After successfully signing in, the dashboard appears.
Note: If a user is unable to successfully log in after numerous attempts, the user could be locked due to the invalid attempts; if needed, contact the Business Office to have a supervisor or Web Link administrator "unlock" a user ID.
Tip: If the system is set up to have user passwords expire (as defined within the System File), and a user’s password will expire within 10 days or less, a notification stating "Password expires in # day(s)." will appear on the dashboard, with the # being the number of days before the password expires. If applicable, click the link within the notification to change the password.
Complete the steps below to sign in using a Google or Microsoft account:
Tip: When signing in with a Google or Microsoft account, any requirements defined for the School Accounting System or Web Link are not applicable, such as the multi-factor authentication set in the Web Link Setup Options or password expirations or requirements.
Click the type of account defined with SSO permissions for your user: Google or Microsoft.
When prompted, select the specific account to use, and then enter the applicable credentials as required.
After successfully signing in, the dashboard appears.
Note: If a user is unable to successfully log in after numerous attempts, the user could be locked due to the invalid attempts; if needed, contact the Business Office to have a supervisor or Web Link administrator "unlock" a user ID.
